Job Title: Director of Operations

Reports to: CEO / Executive Producer

Location: Toronto, ON (Hybrid)

Type: Full-Time, Permanent

Salary: $80K base + performance bonus ($10K-30K annually based on margin deliverance)

Job Overview:

As Director of Operations at Media One Creative, you will lead the operational side of our global creative studio. You’ll oversee systems, scheduling, resourcing, budgeting, and day-to-day delivery to ensure smooth, high-quality execution across projects.

This role requires a senior leader with deep production knowledge and strong operational instincts — someone who can see the big picture, build processes, guide the team, and maintain margin discipline without getting lost in the weeds.

With a small in-house team and a broad freelance network, your leadership will bring clarity, consistency, and confidence to the way our work gets delivered.

Key ResponsibilitiesStudio & Operational Leadership

• Lead daily operations of the studio, ensuring efficient, consistent delivery across all projects
• Develop and manage internal systems and workflows across production, post, and operations
• Maintain studio-wide visibility into active projects, capacity, timelines, and deliverables
• Collaborate with leadership and producers to implement scalable delivery frameworks

Team & Resource Management

• Manage a small but growing internal operations team
• Forecast and allocate resourcing for active and upcoming projects
• Oversee project scheduling, bookings, and workload distribution across internal staff and external collaborators
• Support team development through mentorship, training, and operational guidance

Contractor Coordination & Workflow Oversight

• Manage contractor scheduling, engagement, and coordination across departments
• Maintain clear processes for onboarding, communication, and performance tracking for freelancers
• Ensure project workflows between internal and external collaborators are smooth and deadline-driven
• Partner with producers to support cross-functional coordination across production and post

Budgeting & Financial Alignment

• Track project delivery budgets and flag risks related to overages, scope changes, or misalignment
• Ensure contractor and resource allocations align with approved project budgets
• Support financial reporting by providing input on timelines, utilization, and delivery costs
• Help maintain operational cost discipline through proactive resourcing and process planning

Cross-Team & Global Coordination

• Coordinate logistics and resources across global project timelines and remote production teams
• Ensure workflows, tools, and documentation scale across locations and teams
• Support delivery continuity across departments and time zones

Qualifications

• 15+ years in media production, operations, or studio management
• Deep understanding of production and post workflows across various content formats
• Demonstrated experience overseeing budgets, delivery schedules, and resource allocation
• Experience managing internal teams and external collaborators in a creative environment
• Strong leadership, problem-solving, and communication skills
• Proficiency with operations and production tools (e.g. Asana, Airtable, Monday.com, StudioBinder, etc.)
• Calm, collaborative, and solutions-focused under pressure

Preferred Experience

• Background in a creative agency, media company, or production studio
• Familiarity with international production logistics and remote workflows
• Ability to implement and scale operational systems for growing teams and workflows
