  • Familiarity with Japanese documentation standards and education sector norms.
  • Proficiency in MS Office / Google Workspace (Excel, Docs, Sheets).
  • Japanese language fluency (Business Level - N2 or above preferred); English communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple streams of work independently.
  • Teaching or education-related background is a plus, but not required.

Nice to Have:

  • Prior experience in an international school or bilingual education setting.
  • Understanding of basic accounting or payment systems.
  • Grant writing or reporting experience.

Job Description

We are seeking a highly organized and detail-oriented Program Operations & Admin Manager to oversee key administrative and business functions. This role is critical to ensuring our educational programs run smoothly behind the scenes—from documentation and compliance to teacher payments and expense tracking. While teaching experience is a plus, it is not mandatory.

You will be responsible for ensuring compliance with Japanese regulations, maintaining clear records, coordinating financial operations, and contributing to business growth through support in grants and funding. This is an excellent role for someone who thrives in a multi-functional environment and is passionate about the intersection of education and operations.

Key Responsibilities:
📋 Business & Administrative Operations

  • Prepare and manage Japanese documents required by schools, education authorities, and financial institutions.
  • Maintain accurate contracts and records , ensuring proper filing and access control.
  • Act as a liaison with banks for financial matters, including documentation and company account coordination.
  • Handle teacher payments and reimbursements , including transport and material costs, ensuring accuracy and timeliness.
  • Monitor compliance requirements for insurance, safety, and employment laws relevant to our programs.
  • Organize and streamline data and file management across all departments for easy reference and auditing.
  • Track and report on monthly expenses , working closely with leadership to maintain budget alignment.

💼 Business Growth Support

  • Research and identify grant opportunities , educational subsidies, or municipal support schemes.
  • Prepare and submit grant applications and required reporting in coordination with the leadership team.
